Best Practices for Improving Conversion Rates

Top talent moves fast. When companies use Alex – Apriora’s AI agent – for screening calls, candidates get through the hiring process more quickly. That said, it can be difficult to encourage new behavior. Many people aren’t used to having a live video or phone call with AI. They may be hesitant to move forward, especially with something as personal as a job interview.

At Apriroa, we know the value of leveraging AI agents. We also have a high degree of empathy for and awareness of the concerns people face when interacting with AI. We’ve zeroed in on the best ways to communicate to remove this hurdle and improve candidate conversion.

Outreach Strategy

We’ll cover two email templates and some insider tech tips to start improving conversion rates:

  1. The Invitation: strike the right balance between brevity and helpful context.
  2. The Follow-up: people - and their inboxes - are busy. Create a sense of urgency and highlight why they should work with you.
  3. Email Deliverability: a nerdy bit of hygiene for folks sending thousands of emails per week.

The Invitation

Create an invitation that feels authentically from you. Ensure candidates are aware of and comfortable with the prospect of chatting with Alex. Candidates understand that companies use AI, but they want to know there’s a human in the mix too. Here’s a suggestion:

The Follow-up

Candidates that have yet to act on the invitation email often need a little encouragement. It can be helpful to share with them a few of your company’s highlights to give them the confidence that they’re in good hands.

Email Deliverability

Finally, there are some technical factors that may impede whether or where your email lands within a candidate’s inbox. The major email clients, such as Google and Outlook, have practices in place that screen for spam. Here are a few best practices to consider to ensure your emails get through.

Technical tips

Without getting too deep in the weeds, your emails may be getting flagged due to high volume, if you’re sending 1,000s of emails a week to potential candidates. To improve the likelihood of deliverability:

  1. Authenticate your emails: Implement email authentication protocols such as SPF, DKIM, and DMARC. These protocols verify your emails' legitimacy, reducing the likelihood of them being marked as spam.
  2. Maintain a clean email list: Regularly update and clean your email list to remove invalid or inactive addresses. This practice minimizes bounce rates and enhances your sender reputation.
  3. Warm up new IP addresses: Gradually increase your email sending volume when using a new IP address.
  4. Monitor engagement metrics: Keep a close eye on key email performance indicators such as open rates, click-through rates, bounce rates, and spam complaints.

Subject Lines

It probably goes without saying that overly sales-y subject lines are a no-no. Emoji, requests to “click” or congratulatory text are telltale gimmicks that are sure to send your email directly to the spam folder. Here's an example of what you don't want:

Ensure subject lines look natural. Use 5-6 words and be straightforward:

  • Job Opportunity: {Role Title} at {Company}
  • Interview for {Role Title} at {Company}
